The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Email addresses, phone and WhatsApp numbers, customer financial information, website user statistics, business details.

  • Identity and financial documentation.

  • Video, photography and sound recordings for marketing and documentary purposes.

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Confirm the identity of clients and complete financial transactions.

  • Provide information or research.

  • Marketing purposes including social media.
     

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Data is stored and obtained through automated means using third parties, such as mailchimp, stripe, WIX, airbnb, booking.com, google, channel managers and identity confirmation systems to complete transactions for clients and for marketing purposes.

  • Data is also processed other than by automated means which form part, or intend to form part of a filing system.

 

We use the information that you have given us in order to complete client transactions, provide good customer service, promote our products and services and document our companies activities. We may share this information with online travel agents (such as airbnb), channel managers, property owners, gallery owners, other clients and the police and other legal bodies (where required). 

 

We check that processing is necessary and there is no less intrusive way to achieve the same result.  We only use individuals data in a way that they would expect, unless we have very good reason.  

 

We are not using people’s data in ways they would find intrusive or which could cause them harm, unless we have a very good reason and are confident that the individual’s interest do not override those legitimate interests.  If we process children’s data, we take extra care to make sure we protect their interests.  We have considered safeguards to reduce the impact where possible.  We consider whether we can offer an opt-out.

 

We keep this policy under review and amend it if circumstances change.  This policy was reviewed in October 2023.

 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) We have a contractual obligation.

(b) We have a legitimate interest.

(c) Your consent. You are able to remove your consent at any time.

How we store your personal information 

Your information is securely stored. 

 

We keep financial and identification information for up to 3 years, where appropriate. We will then dispose your information by deletion on any internal systems.  Film, video and photographic information along with some identity information may be kept indefinitely for documentation purposes, including documenting events.

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
